1. Responsible Party

Rent A Principal (Pty) Ltd, trading as Rent a Principal Practitioner and RentPP, registration number 2026/303717/07 (“RentPP”, “we”, “us” or “our”), is the responsible party for personal information collected through:

  • The RentPP website at www.rentpp.org;
  • Online appointment and consultation bookings;
  • Direct enquiries and correspondence;
  • Client onboarding and service delivery;
  • Google Calendar and Google Meet integrations;
  • Payments, invoices and related business communications.

We process personal information in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”) and other applicable South African laws.

2. Personal Information We Process

Depending on how you interact with RentPP, we may process:

  • Your name, identity number, telephone number and email address;
  • Employment, agency, representative and professional details;
  • Company registration, Fidelity Fund Certificate, authority, compliance, beneficial ownership and KYC information;
  • Documents voluntarily uploaded, emailed or supplied for verification, contracting, compliance, payment or service delivery;
  • Appointment details, booking notes, consultation dates and selected services;
  • Payment references, invoices, receipts and transaction records;
  • Correspondence, enquiries, complaints and communication records;
  • Website technical information, including IP address, browser type, device information, cookies, pages visited and similar usage data;
  • Google Calendar information where a RentPP representative connects a Google account to our appointment system.

We only process information that is reasonably necessary for the purposes described in this Privacy Policy.

3. Purpose of Processing

We may process personal information to:

  • Respond to enquiries and communicate about RentPP services;
  • Schedule, confirm, manage and conduct appointments or consultations;
  • Assess suitability and onboard clients;
  • Verify identity, authority and regulatory standing;
  • Provide Stand-In Principal, Agency Setup, Support and Compliance services;
  • Create appointment events and Google Meet links;
  • Process payments, issue invoices and maintain accounting records;
  • Comply with PPRA, FIC, POPIA, PAIA, Companies Act, tax, accounting, audit, inspection and other legal obligations;
  • Manage complaints, disputes, professional advice and enforcement;
  • Protect our legal rights and the rights of our clients;
  • Maintain website security, functionality, performance and user experience;
  • Prevent fraud, misuse and unauthorised access.

4. Google Calendar and Google Meet Integration

RentPP uses Google Calendar and Google Meet to manage online consultations and appointment availability.

When an authorised RentPP representative connects a Google account, our appointment system may access limited Google Calendar information necessary to:

  • Check whether a selected time is available or busy;
  • Create a calendar event when an appointment is booked;
  • Update or remove an event if an appointment is rescheduled or cancelled;
  • Add the customer and authorised RentPP representative to the appointment;
  • Generate a unique Google Meet link for an online consultation;
  • Include appointment details and the meeting link in booking notifications.

The information accessed may include:

  • Calendar identifiers and calendar names;
  • Event dates, times, duration and availability status;
  • Appointment titles, descriptions and attendee email addresses;
  • Google Meet conference information associated with an appointment;
  • Authentication information required to maintain the authorised calendar connection.

RentPP does not use the Google Calendar integration to read Gmail messages, Google Drive documents or Google Contacts.

5. Use of Google User Data

Google user data accessed through the integration is used only to provide and improve appointment scheduling, calendar synchronisation and online consultation functionality.

RentPP will not:

  • Sell Google user data;
  • Use Google user data for advertising or retargeting;
  • Use Google user data to determine creditworthiness;
  • provide Google user data to data brokers or information resellers;
  • Use Google Workspace API data to develop, improve or train generalised artificial intelligence or machine-learning models;
  • Transfer Google user data to third parties except where necessary to provide the requested appointment service, maintain the integration, comply with the law or protect legal rights.

Our use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including its Limited Use requirements.

6. Google Account Authorisation and Revocation

Only authorised RentPP representatives may connect a Google account to the appointment system.

The account holder may withdraw access at any time by:

  • Disconnecting Google Calendar from the RentPP appointment system;
  • Removing RentPP’s access through the security settings of the relevant Google account; or
  • Contacting RentPP at support@rentpp.org.

Disconnecting the integration will prevent future calendar synchronisation. Existing appointment and business records may still be retained where required for legitimate business, regulatory, accounting, contractual or legal purposes.

7. Legal Grounds for Processing

RentPP may process personal information where:

  • The person has provided consent;
  • Processing is necessary to perform or prepare to enter into an agreement;
  • Processing is required to comply with a legal obligation;
  • Processing protects a legitimate interest of the data subject;
  • Processing is necessary to pursue the legitimate interests of RentPP or a third party, subject to the rights of the data subject.

Consent may be withdrawn where processing is based on consent. Withdrawal does not affect processing that lawfully occurred before the withdrawal.

8. Sharing of Personal Information

RentPP may share personal information with:

  • Authorised employees, representatives and contractors;
  • Professional advisers, including attorneys, accountants and compliance specialists;
  • The Property Practitioners Regulatory Authority and other regulators;
  • Google, where Google Calendar or Google Meet functionality is used;
  • Our appointment-booking, website-hosting, email, payment, security and technology service providers;
  • Banks and payment-service providers;
  • Law-enforcement authorities, courts or government bodies where legally required;
  • Other parties where necessary for service delivery, legal compliance, dispute resolution or protection of rights.

Service providers are expected to process information only for authorised purposes and to implement appropriate safeguards.

RentPP does not sell personal information.

9. Cross-Border Processing

Some technology providers, including Google and website infrastructure providers, may process or store information outside South Africa.

Where personal information is transferred outside South Africa, RentPP will take reasonable steps to ensure that the recipient is subject to appropriate data-protection obligations as required by POPIA.

10. Security

RentPP applies reasonable technical and organisational safeguards designed to protect personal information against:

  • Loss or destruction;
  • Unauthorised access;
  • Unlawful processing;
  • Alteration or misuse;
  • Unauthorised disclosure.

These safeguards may include access restrictions, secure authentication, system updates, backups and controls over employees and service providers who handle personal information.

No internet-based system is completely secure. RentPP cannot guarantee absolute security but will respond to suspected compromises in accordance with applicable law.

11. Retention and Deletion

Personal information is retained only for as long as reasonably necessary for:

  • Providing the requested services;
  • Maintaining appointment and client records;
  • Regulatory, accounting, tax, audit and inspection requirements;
  • Contractual obligations;
  • Complaints, disputes and enforcement;
  • Legitimate operational purposes.

Google Calendar authorisation tokens and related integration information are retained only for as long as the Google connection remains active or as technically necessary to provide calendar synchronisation.

When information is no longer required, it will be deleted, destroyed, de-identified or restricted in accordance with applicable law and our retention requirements.

A person may request deletion of personal information by contacting support@rentpp.org. Certain information may not be deleted immediately where retention is required by law or reasonably necessary for legal, regulatory or contractual purposes.

12. Data Subject Rights

Subject to POPIA and other applicable laws, you may:

  • Request confirmation of whether RentPP holds your personal information;
  • Request access to your personal information;
  • Request correction or updating of inaccurate information;
  • Request deletion or destruction where legally permitted;
  • Object to certain processing;
  • Withdraw consent where processing is based on consent;
  • Request information about third parties to whom information has been disclosed;
  • Lodge a complaint with the Information Regulator of South Africa.

We may request reasonable proof of identity before processing an access, correction or deletion request.

13. Cookies and Analytics

The RentPP website may use cookies and similar technologies for:

  • Essential website functionality;
  • Security and fraud prevention;
  • Remembering user preferences;
  • Measuring website performance;
  • Understanding how visitors interact with the website;
  • Improving user experience.

Users may manage non-essential cookies through the website cookie controls or browser settings. Disabling certain cookies may affect website functionality.

14. Third-Party Websites and Services

The RentPP website may contain links to third-party websites or services. Those parties operate under their own privacy policies, and RentPP is not responsible for their independent privacy practices.

This includes Google services, payment providers and external regulatory or professional-service websites.

15. Changes to This Privacy Policy

RentPP may update this Privacy Policy when its services, legal obligations or information-processing practices change.

The revised policy will be published on this page with an updated effective date. Material changes may also be communicated through the website or other appropriate channels.
